Overlanding Expedition Planning: Route Selection, Permits, and Risk Assessment
I’ve watched rigs with $80,000 in equipment get stranded on BLM roads because the driver didn’t pull the right permit, didn’t check seasonal closure dates, or didn’t have a single backup route mapped. The truck didn’t fail them. The planning did. Multi-week overlanding expeditions demand the same methodical prep as any serious backcountry trip — the vehicle just changes the logistics, it doesn’t reduce them.
Route Research: Start With the Data, Not the Daydream
Most people start route planning by watching YouTube videos of someone else’s trip. Fine for inspiration, but it’ll get you into trouble fast. Conditions change year to year. A route that was bone dry in September 2022 might have washed-out culverts and closed access roads in 2024. Start with primary sources.
The BLM’s GeoBOB system and the Forest Service’s Motor Vehicle Use Maps (MVUMs) are your first stops. MVUMs are legally binding — they define which roads are open to motorized vehicles, which are seasonal, and which are restricted by vehicle width or type. Download them as PDFs directly from the relevant ranger district websites. Third-party apps are useful, but they’re not your legal authority here.
For route-building, I use Gaia GPS Premium. At $39.99/year it’s the best value in overlanding navigation software — satellite imagery, USGS topo layers, BLM surface management maps, and offline downloads before you lose cell service. I’ve run it from the Mojave Road to the Dalton Highway without a failure. Cross-reference your Gaia routes against CalTopo for a second opinion on terrain. CalTopo’s slope angle shading is worth the extra step if you’re running anything in avalanche country during early season.
When I’m planning a new route, I call the local ranger district directly. Not email — call. Rangers will tell you things that aren’t published anywhere: which roads have soft shoulders after spring thaw, where seasonal water sources have dried up, whether recent fire activity closed a corridor. That 10-minute phone call has pulled me back from bad situations more than once.
Permits: Know What You Need Before You Go
Permit requirements vary wildly by land management agency, state, and specific corridor. Getting this wrong isn’t just a fine — on some federal lands it can mean vehicle impoundment.
Federal Lands
On BLM land, most dispersed camping doesn’t require a permit, but designated areas — the Alabama Hills Recreation Area in California, the Moab area in Utah — now require advance reservations through Recreation.gov. The BLM’s 14-day stay limit applies across most of their land and resets after a 28-day absence from the same area. Know that rule cold if you’re running a multi-week loop.
National Forest roads are governed by MVUMs. Dispersed camping is generally permitted 150–300 feet from roads, water sources, and trails, but specific forests have specific rules. The Coconino National Forest in Arizona has fire restrictions that can change daily in summer. Sign up for the relevant forest’s alert system before your trip.
Wilderness areas are off-limits to motorized vehicles. Know where they fall on your route. The Gaia GPS BLM layer shows wilderness boundaries — one of the reasons I keep that subscription active year-round.
State and Private Land
State-managed OHV routes often require a state OHV permit or day-use fee. California, Colorado, and Utah all run different programs with different structures. In California, you need a current OHV registration sticker on any vehicle operating on designated OHV routes — even if your rig is street-legal and registered. Private land crossings require written permission. If your planned route crosses private parcels — identifiable on Gaia or onX Offroad — contact the landowner well in advance. Some ranchers are accommodating. Others aren’t. Either way, you need to know before you’re standing at a locked gate 200 miles from pavement.
Weather Windows: The Variable That Kills Timelines
Picking the right weather window for a multi-week expedition isn’t about finding perfect weather. It’s about understanding the specific failure modes of your route during different seasons and accepting calculated risk.
For desert routes in the American Southwest, the window I trust most is mid-September through early November. Monsoon season typically wraps by mid-September, temperatures drop to manageable levels, and you’re ahead of the early winter storms that close mountain passes. The Mojave Road, the Arizona Strip, and most Utah canyon country routes are at their best in this window.
For Pacific Northwest routes — the Cascade Backcountry Discovery Route, for example — I target late July through early September. Snow lingers at elevation well into June, and the fall rain season hits hard in October. That’s a tight window, and you need to stay flexible about which high passes you attempt based on current conditions.
I check weather through three sources: Weather.gov for point forecasts at specific coordinates, Windy.com for wind and precipitation visualization across a region, and Mountain Forecast for elevation-specific data on any high-route segments. For river crossings, I pull USGS stream gauge data — a crossing that’s 18 inches deep in August can be impassable at 4 feet in June.
Build weather flex days into your timeline. On a 14-day expedition, I plan for at least 2–3 buffer days. If you don’t use them, you’ve got extra time to explore. If a storm pins you down, you’re not making panicked decisions about pushing through dangerous conditions because you have a flight to catch.
Risk Assessment: The Honest Conversation
Risk assessment means being honest about three things: your rig’s capabilities, your own skill level, and the specific hazards of your route. Most people overrate the first two and underrate the third.
Rate every segment of your planned route on a 1–3 scale: 1 is within your comfortable capability, 2 is at your limit, 3 is beyond it. Multiple back-to-back 2-rated segments with no bailout option is a problem. You need either more skill, a different route, or a support vehicle.
Vehicle recovery gear is load-bearing on any serious expedition. Tire management is where most expeditions fall apart mechanically. Run two full-size spares on anything longer than a weekend. Communication Protocols: What Happens When Things Go Wrong
Plan as if you’ll have zero cell service for the entire trip — because on some routes, you will.

Before you leave, give a trusted contact your complete trip plan: every route segment, every planned camp, every bailout point, and your check-in schedule. I check in every evening at 7 PM with a preset message. If my contact doesn’t hear from me for 24 hours past a scheduled check-in, the protocol is specific: call the county sheriff’s office for the area I should be in, provide my last known position from the inReach tracking link, and give my vehicle description and plate number.
That protocol needs to be written down and in their hands before you leave. A verbal agreement isn’t enough — people forget details under stress.
Contingency Planning: The Routes You Don’t Want to Take
Every expedition needs at least one bailout route per major segment. Map these in Gaia before you leave and mark them clearly. A bailout route is a road — paved or well-maintained dirt — that gets you to a town with fuel, food, and cell service. It doesn’t have to be fast. It has to be passable in your rig regardless of conditions.
Calculate your fuel range conservatively for every remote segment. My 4Runner runs about 16 MPG on-road and drops to 12–13 MPG on rough terrain. I carry a Rotopax 2-gallon fuel pack as emergency reserve — enough to reach the next station if I miscalculate. Know where the last fuel stop is before any remote segment and top off there, every time.

Medical contingency means knowing the nearest Level I or Level II trauma center to each segment of your route — saved offline in your phone’s notes app, not in a browser tab that requires cell service. A Wilderness First Responder certification is worth the 70-hour investment if you’re running serious remote routes. At minimum, carry an Adventure Medical Kits Trauma Pack Pro and know how to use everything in it before you need it.
